PARALEGAL OFFICER – 6 MONTHS FIXED-TERM CONTRACT (H/F)

THE JOB:
In the framework of a 6 months’ contract, we are assisting our client in their search of a Paralegal officer to provide support to the Legal, Tax and Corporate Governance team in relation to AML/KYC requests (including FATCA/CRS) for the group subsidiaries.
Joining the team, the Paralegal Officer provides administrative and secretarial support to the Team including keeping of records, execution of documents, and preparation of external / internal correspondence for the group subsidiaries.
Responsible for supporting the Team with the objective of providing effective and thorough secretarial support the Paralegal Officer uses tact, diplomacy, discretion and judgment in their day to to day core responsibilities:
• Dealing with standard AML/KYC requests (including FATCA/CRS), in compliance with internal guidelines, templates and policies;
• Assisting the Team with collecting signatures and execution (wet ink or using the dedicated electronic signature platform, i.e. AdobeSign) of corporate documents (including contracts, board minutes, shareholder resolutions, tax related documentations, delegations of powers);
• Handling of soft and hard copies of all corporate documentation, storing it in line with the naming convention in the physical company files and electronically in SharePoint, ViewPoint, Shared Drive and other relevant platforms (e.g. Kiteworks);
• Keeping the directors and companies records up to date (i) the internal data base platform (ii) with all relevant trade and companies registers and ultimate beneficial owners registers and (iii) in any other registers as instructed by the associates/senior associates of the Team;
• Standard secretarial work including document production (correspondence, proxies, simple corporate documents, formatting of memos etc.), upon instructions received from the associates/senior associates;
• Proactively contribute to the Team success by actively seeking to improve and facilitate working processes;
• Assisting associates/senior associates when preparing for periodic board meetings, convening the meetings, preparing board packs;
• Handling the mail and all internal and external legal and tax correspondence;
• Completing bank forms/administrative forms and following up on their execution;
• Distributing and filling legal and tax documents;
• Assisting associates/senior associates in relation to internal matters;
• Assisting the Team in dealing with any ad hoc administrative requests (e.g. legalization, apostille, translation).

THE CANDIDATE PROFILE:
• Minimum required experience of at least 2 – 3 years in a Luxembourg law firm or a service provider;
• Fluent level in English and preferably French, written and spoken, any other language is a plus;
• Experience with legal and corporate terminology and documentation;
• Good proofreading and writing skills;
• Excellent attention to detail;
• Reliable, well organized with good time management skills, not afraid to take initiatives;
• Multitasking, ability to prioritize and to work under time pressure;
• Strong team player with very good communication and interpersonal skills;
• Ability to handle sensitive and confidential information appropriately;
• Perfect knowledge of Outlook and Word, Good knowledge of Excel and PowerPoint;
• Previous experience with a document management system is a plus;
• Dynamic, supportive, proactive and easy to work with;
• Curious and eager to learn new things.

Our client is an international investment company.
