Contract: full-time (40 h / week), 6 months probation time
Your tasks and responsibilities
Supporting and providing full executive support to one of the Managing Directors to ensuring smooth operations that includes:
  • Organising all administrative and clerical duties and thus handling multiple levels of advanced administrative duties
  • Responsibilities will include (not exhaustively listed)
    • full and meticulous diary management
    • responding to emails on behalf of the Managing Director
    • organising meetings and lunches
    • taking meeting minutes
    • booking travel
    • putting together itineraries
    • general research
    • preparing presentations 
  • handling highly confidential and sensitive material with discretion  
  • Liaising with a wide range of business and personal contacts
  • Streamlining the communication between the Stiftung International Education Leipzig and the companies subject to the Stiftung
  • Organising meetings of the Stiftung and companies subject to the Stiftung
  • Coordinating the establishment and maintenance of advisory committees that operate within the frame of the Stiftung; advisory committees may consist of staff and community members of subsidiary companies of the Stiftung and external stakeholders
  • Organising meetings of advisory committees, distributing meeting agendas, preparing and supporting in presentations and writing minutes
  • Follow up before in a timely manner on the status of actions agreed on in meetings
  • Compiling any necessary information for all stakeholders
  • Creating mailings, presentations and reports for the LIS board and LIS steering committees
Your profile
  • Relevant experience as a Personal Assistant or experience in a similar role is essential
  • Relevant experience in the education sector is essential
  • Excellent written and verbal communication skills in English and German
  • Interpersonal and relationship management skills
  • Self-driven and motivated with the confidence to work independently and with others
  • Detail oriented and the ability to multitask in a fast-paced environment
  • Proactive, forward-thinking, able to use initiative and always go the extra mile to achieve success
  • The ability to adapt quickly and make necessary changes
  • Extremely organised with exceptional time management skills and able to prioritise efficiently
  • Excellent grammar, spelling, drafting, writing and proof-reading ability
  • Numerate, with strong attention to detail
  • Extremely discreet, with an ability to maintain professional conduct in all situations
  • Strong work ethic

About us
Leipzig International School gGmbH is a non-profit, independent educational institution that operates a kindergarten as well as an all-day school with a primary school with integrated after-school care and a secondary school. At present, nearly 1100 students from local and international families study at our institution from the age of one until they reach university entrance qualifications. The teaching language is English. German is taught as a compulsory subject.
