COMPANY OVERVIEW
A Japanese company supplying high-precision 3D data for Automotive and other businesses is looking for an Administrative Assistant (m/f/d) in Frankfurt.


JOB RESPONSIBILITIES
As an Administrative Assistant, you will play a pivotal role in supporting the daily operations of our corporate office. You will be responsible for a wide range of tasks essential for efficient office management and effective communication with our group companies and customers. This position offers an exciting opportunity for an organized and detail-oriented individual to contribute to our team's success.


Key Responsibilities:

1. General Office Management:
  • Provide routine sales, purchase, engineering, and project management support.
  • Assist with other daily office work to ensure smooth operations.

2. Communication Support for Group Companies/Customers/Administrative Offices:
  • Engage with Group Companies/Customers/Administrative Offices through email, telephone, and in-person visits, ensuring exceptional service and responsiveness.

3. Administrative Work:
  • Handle incoming and outgoing correspondence, including sorting and distributing letters, emails, and faxes.
  • Manage parcels and unique mailings.
  • Correspond with accounting firms and authorities on behalf of the company.
  • Prepare and submit required documents to the accounting firm and authorities.
  • Monitor office supply inventory and initiate purchase orders as needed.
  • Assist with general filing and clerical duties.
  • Manage schedules and travel arrangements for upper management as required.
  • Prepare reports and presentations as needed.
  • Assist with event planning and organization as needed.


JOB REQUIREMENTS
Key Abilities:
  • Exceptional organizational skills and self-motivation.
  • Adaptability to various work environments, contact persons, and team dynamics.
  • Strong problem-solving abilities.
  • Collaborative teamwork skills.

Language Skills:
  • Fluent in German at a business level (native in German is a plus).
  • Fluent in Japanese at a business level.
  • Fluent in English at a business level is a plus.

Experience:
  • 3 to 5 years of prior work experience in an administrative or assistant role (experience in a Japanese company in Germany is a plus).
  • Demonstrated excellence in planning and organizational skills.
  • Proficiency in telephone and business etiquette.
  • Outstanding communication and interpersonal skills.

Office Skills:
  • Proficiency in MS PowerPoint.
  • Proficiency in MS Excel.
  • Proficiency in MS Word.
  • Proficiency in MS Outlook.

Working day: 5 days a week from Monday – Friday
Working hours: 25-30 hours/from 9 am until 3 pm


BENEFITS
  • 30 paid holidays per annum (pro-rata during the probation period).
  • Transport allowance: the company will cover a 49 Euros ticket or an equivalent.
  • Coffee and water will be provided for free at the office.
  • Working from home is allowed; the assistant is supposed to come to the office at least three times a week.
  • Working hours can be adjusted every week with approval from the supervisor.
