Position

The Student Support Services (SSS) Department Secretary will play a vital role in supporting the efficient functioning of the Student Support Services department within the school. This position requires excellent organisational skills, strong communication abilities, and a compassionate approach when dealing with students, parents, and staff. The SSS Department Secretary will work closely with the department head and the SSS team to ensure smooth administrative operations.

YOUR RESPONSIBILITIES INCLUDE THE FOLLOWING ACTIVITIES
  • Manage and maintain the department's filing system, records, and databases in an organised and confidential manner
  • Assist in preparing, organising, and distributing reports and documentation related to the function of the department
  • Schedule meetings, appointments, and interviews for the department head and SSS team, ensuring timely communication and coordination.
  • Act as a liaison between the SSS department, students, parents, teachers, and other school staff, facilitating effective communication and collaboration
  • Respond to inquiries from parents, students, and staff regarding SSS services and support, providing accurate and helpful information
  • Coordinate and communicate with external agencies, specialists, and professionals involved in the support of students who are case managed by the department
  • Assist in maintaining student files, ensuring up-to-date and accurate documentation of individualised education plans (IEPs), assessments, and progress reports
  • Assist in creating and managing schedules for individualised education plan (IEP) meetings, assessments, therapy sessions, and related events
  • Help organise and facilitate workshops, training sessions, and events related to Student Support for both internal staff and external stakeholders
  • Order and manage supplies, materials, and resources necessary for the effective operation of the SSS department
YOUR QUALIFICATION
  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus
  • Previous administrative experience in an educational setting, particularly within a special education department, is highly desirable
  • Strong organisational skills and attention to detail, with the ability to manage multiple tasks and prioritise effectively
  • Excellent communication skills, both written and verbal, and the ability to interact professionally with diverse stakeholders
  • Working knowledge of German and English is desirable
  • Proficient in using office software and applications (e.g. Google Workspace) and comfortable with database management
  • A compassionate and empathetic approach when dealing with students, parents, and staff, demonstrating an understanding of the unique needs of individuals with special Student Support requirements
  • Ability to maintain confidentiality and adhere to privacy regulations concerning student and staff information
