Office Administrative Assistant P/T

Location: King of Prussia Contract: Teilzeit Start: As of now

Your tasks

  •  Assists in planning and coordinating meeting logistics, video & audio conferences, meeting rooms, guest arrival arrangement as well as any catering needs.  Manage schedules and coordinate travel arrangements when necessary.
  • Provide general office support to the team.
  • Undertake special projects as assigned. 
  • Ability to effectively present information verbally and in writing.
  • Strong attention to detail.
  • Ability to follow directions and work independently with limited supervision.
  • Solid working knowledge in MS Word, Excel and Outlook.
  • Ability to use diplomacy and discretion. Must act with professionalism at all times. Strong customer service skills.
  • Ability to work independently or on a team, with a positive attitude and flexibility to work with multiple individuals and handle a wide variety of tasks.
  •  Handle incoming communications, including emails, phone calls, and inquiries, in a timely and efficient manner.
  • Maintain organized filing systems and databases.
  • Provide general administrative support, such as ordering supplies, processing expenses, and coordinating office events. 
  • Assist with conference room furniture configuration. Daily Conference room checks (supplies, cleanliness) 
  • Walk space throughout the day to review operation of equipment, furniture and fixtures (lights, photocopiers, digital scanners, refrigerators, coffee machines, water & ice dispensers, doors, carpet, common areas etc.) and ensure safe environment.
  •  Work with building management and external vendors to process service requests for maintenance/repair (lights, temperature, overtime HVAC, noise, cleaning projects, porter services, etc.)
  • Prepare offices for visitors and new hires.
  • Receive, log deliver incoming packages (FedEx, UPS etc.) 
  • Monitor usage of materials and supplies in primary stock room and order as necessary to maintain adequate levels.
  • Maintain and organize floor copy rooms, adding supplies as needed.
  • Check paper levels on printers/copiers on a daily basis and replenish as needed.
  •  Perform other duties as assigned.
 

Your profile

  •  High School Diploma/GED, bachelor's degree in business Managment or related discipline preferred.
  • Minimum 1 to 2 years of experience in an office environment preferred.
  • Solid draft correspondence, able to communicate effectively to a diverse range of internal and external individuals.
  • Positive attitude and willingness to take on new challenges.
  • Strong interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Ability to handle confidential information sensitively.
  • Effectively manage multiple job responsibilities and adapt to changing priorities.
  • Ability to work in a high-pressure environment and respond to work situations quickly.
  •  Proficient technical skills (Word, Excel, PowerPoint, Outlook, SharePoint, Internet)
  • Ability to sit for extended periods of time.
  • Successful completion of a pre-employment drug and background screen
  • Basic math skills: addition, subtraction, multiplication, division.
  • Strong attention to detail.
