Center for Coaching Excellence Coordinator 

 


Why we are recruiting


The Center for Coaching Excellence Coordinator will facilitate all activities related to coaching for IMD by ensuring the smooth execution of any operational processes linked to the Center for Coaching Excellence activities. These activities cover the delivery of Executive Coaching Services, the management of IMD Coaching Community, and the deployment Coaching in programs. This entails as well any supporting activities linked to the future development of the Center for Coaching Excellence. 
This entails the coordination with various stakeholders such as the Executive Director for Coaching & Leadership Excellence, Faculty, Program Directors, Learning managers, the IMD Coaching Community, Clients and coaching suppliers pool as well as other departments in IMD to support smooth operational and administrative end-to-end processes. 

 


Main responsibilities 


Coaching Excellence Operations : 
•    Manage the administration of executive coaching programs, including scheduling, documentation, database and dashboards  
•    Manage coaching requests, redirect inquiries to the appropriate channels, and follow up to ensure timely and effective responses.
•    Ensure that revenues and contracts are associated with programs/modules and are available on Salesforce (SF).
•    Act as a single point of contact to ensure coaching data accuracy in Salesforce.
•    Coordinate with Faculty, Legal, and Sales to ensure allocation of revenue Schedule Lines across programs/ modules.
•    Manage the Post Program Coaching process in alignment with the Finance and Legal teams: establishment of coaching agreements, processing of invoices, and payment. 
•    Provide comprehensive support to the Executive Director, assisting in daily administrative tasks, schedule management, and coordination of agenda and activities.
•    Carry out general secretarial and other administrative duties as required


Executive Coaching Services and Clients Process follow-up :
•    Acquire and demonstrate an in-depth understanding of Executive Coaching Services processes and vision.
•    Monitor Executive Coaching requests for calibration & support offering creation.
•    Manage Executive Coaching process from launch to satisfaction survey, including coaches matching process and monitoring of coaching sessions.
•    Ensure proper follow-up of the full lifecycle of the Executive coaching services. Help close the loop and compare contracted revenues with actuals (also in terms of design)
•    Support the Center for Coaching Excellence data collection – supporting research, business revenues, and measures of impact: for instance by collecting key topics trends, and material preparation for client wrap-up. 

 

IMD Coaching Community Events Coordination: 
•    IMD Coaching Community Conference Bi-annually and regular social events – Coordinate the bi-annual ONE IMD coaching community Conference (one virtual; and one face-to-face) by organizing the venue and location, suggesting and structuring the agenda, and communicating with internal and external stakeholders and guest speakers. Ensuring smooth delivery of the events. Coordinate regular social events like Coffee initiatives. 

•    Coaches' Onboarding Bi-annually - Facilitate the onboarding process for coaches, collecting and pre-calibrating candidates, coordinating the interview process with the selection panel, and ensuring a smooth integration into the coaching programs and alignment with IMD's coaching vision and strategy.

•    Coaches' Continuous Development events - Coordinate the IMD coaching community continuous development training (e.g. Masterclasses; psychometrics tool certifications; trainings) delivered by internal or external providers – ensuring proper communication and collection of candidates, coordinate the events with internal trainers or external providers. 

 

Center for Coaching Excellence Communication 
•    Manage communication within the IMD Coaching Community, ensuring timely and effective dissemination of information to enhance community engagement and collaboration.
•    Update communication platforms (coach portal, Intranet, LinkedIn, …) with relevant and up-to-date information and documentation related to Coaching Excellence at IMD where necessary in coordination with the Communication team.
•    Coordinating the “I by IMD Coaching Corner” bi-monthly articles with the communication team. 
•    Support and coordinate the Center for Coaching Excellence key communication events (e.g. Community Events, ExCo presentations, Faculty Meetings). 

 

Center for Coaching Excellence Projects Follow-up and Process Optimization : 
•    Monitor and optimize coaching projects, ensuring efficient processes and alignment with the overarching coaching strategy, contributing to the continuous improvement of coaching initiatives – like the optimization of internal processes through the transversal team coordination across the Institution, the continuous development of coaching platform, the enhancement of communication and marketing material, support the deployment of research pillar and IECC alumni community management. 

 

Support Bespoke Coaching Programs deployment support and renewable of IECC accreditation process: 
•    Ensure the process of certification and credentials of any coaching programs delivered by IMD (for instance ICF, EMCC, AC). Specifically, coordinating the IECC program's regular renewable process of accreditation with ICF.   
•    Supervise and organize bespoke executive coaching programs delivered by the Center for Coaching Excellence when necessary
•    Coordinate Executive Coaching program schedules and materials with the Coaching community, Learning Managers, and other internal departments (marketing, print shop, restaurant, etc.)
•    Prepare Coaching Excellence program budgets in coordination with the Program Director
•    On occasion, work on bespoke workshops, and events. 


Formula for success 
On the WHAT
•    Maturité commerciale or Bachelor in hospitality management, tourism, marketing or equivalent
•    Experience in a stakeholders management (internal or external), 
•    Experience working in an international environment
•    Fluent in English and French. 
•    Computer literate (MS Office as well as any communication platform) including proficiency in Excel; Teams; Zoom; 
•    Strong proven organization, time management, and administration skills
•    Knowledge of Coaching environnement & community a plus.
